Portfolio Management Software (PMS) are programs that combine bank, investment and other financial data in one application so investors can conveniently monitor their financial health and make well-informed decisions.

In other words, PMS show all of your financial information in one place when you connect your accounts or enter them by hand. They typically don’t, however, have trade execution capacities like investment apps and brokerage platforms.

How much does a PMS cost?

Virtually every PMS for retail investors has a free version or trial, but you’ll see very quickly that the basic functionalities aren’t enough.

For premium packages you can expect to pay $95/yr on average, or as low as $10/yr and as high as $250/yr — or accept invasive ads.

Why and How to Track Your Investments in One Place

Once you have 2 – 3 brokerage accounts, a few bank accounts, credit cards, and a couple loans, tracking it all becomes time consuming. And it’s not like you have a choice because you need to stay on top of your money.

A good portfolio management app is well worth the extra $95 per year. But you need to get one that works for you.

If you’re a passive investor with 3 accounts, it’s not paying a premium for features you won’t use.

On the other hand, sophisticated investors will get frustrated with a solution that doesn’t deep dive into transactions, ROI, NPV, and IRR.

So how do you choose?

4 Steps to Choose a Portfolio Management Software

#1 Decide What Kind of Investor You Are

The first step is to decide how much time and effort you’re willing to invest in tracking your investments.

What are the types of portfolio management?

There are 2 basic types of portfolio management:

  • Day Trading
  • Long Investing

There’s no bright line here, but a good rule of thumb is 7 hours/week. If you’re willing to invest 1 hour/day 7/7 (or better yet, you really like to), then you might be ready for day trading. Otherwise, you’re probably more of a long gamer. Personally, I’m long.

#2 Decide What Your Risk Tolerance Is

Step 2 is to decide how much of a gambler you are.

What are the risk portfolio management techniques?

There are 5 traditional techniques, each corresponding to risk tolerance.

  • Conservative
  • Moderately-Conservative
  • Moderate
  • Moderately-Aggressive
  • Aggressive

This is a highly personal choice. The more aggressive you are, the higher your chances for both gains and losses. In most cases, day trading correlates to more aggressive techniques. Alternative strategies like quality investing are moderately conservative, and deep value investing is very conservative.

#3 Decide How You Want to Organize Your Portfolio

Step three is to decide in what kind of account to put your money. The two most common are retirement accounts like IRAs and taxable options like broker accounts.

How to Organize Your Portfolio

If you’re unsure which way to go, ask yourself these questions.

  • What’s your timeline? If you want a return in less than 1 year, then a brokerage account is clearly better.
  • What’s your return target? If you’re aiming for more than average returns (~10% per year for the S&P 500 Index), then a retirement account may be better, unless you want the money before you kick back on your yacht.
  • How old are you? It’s none of my business, but there’s an inverse relationship between age and need for structured retirement savings. You have less time to reap the benefits from these accounts. Plus, there’s no rule against a taxable brokerage account for retirees.
  • What is your allocation strategy? If you’re using the 10, 5, 3 rule, for example, then you’ll want an option that can handle stocks, bonds, and cash savings accounts.

#4 Choose the Right Portfolio Management Software

Active Investor

If you’re a day trader, aggressive, and want a brokerage account, then you’re an active investor. Make sure you choose a PMS that provides the level of detail you need.

Passive Investor

If you’re a long gamer and moderately-conservative or less, it doesn’t really matter which account you use because you’re a passive investor. Make sure you choose a PMS that won’t overwhelm you with details, and won’t make you pay for features you don’t need.

Relax…

Once you’ve finished steps 1 – 4, cut yourself some slack. Nobody is 100% certain how much time they commit, what their risk tolerance is, and what accounts they want to use. You probably already have a basic setup, and it will likely change over time. There’s no shame in that, it’s normal.

It’s useful to have an initial idea so you can weed out some of the software options that make zero sense for you. But beyond that, it’s best to go in with an agile mentality.

Best for Wealth Manager Upgrading

Empower is the only free software on our list. I didn’t want to rate Empower number one on the list because I don’t think they have a modern enough user interface to merit the top spot, but from a purely analytical perspective they’re by far the best. You can connect with virtually any financial institution, and if not, manual entries are pretty straightforward.

You can add virtually any personal asset from art and jewelry to cars and house to the portfolio and get a quick snapshot of your net worth. The app even asks you a few demographic details when you start to optimize some of the (non-invasive) upgrade options.

If the app itself weren’t enough, Empower is a well-established wealth management firm, so if you decide to move away from self-directed investing, become rich, or just want professional help, you can sign up down the road.

Best for Transaction-Level Tracking

Banktivity has caught a bad rep in the app store because many users confuse its purpose. It’s not meant for high-level portfolio tracking like Empower. It’s meant primarily to be used as a desktop app for audit-style portfolio tracking, as you can see from the picture below.

Like many “professional” style portfolio managers, Banktivity doesn’t have a free version. The reason is simple. You don’t use these apps for summaries. They’re meant for deep investigation. MoneyWiz is a best-of-both-worlds option. It has a nice desktop app on top of the mobile one and a high degree of connectivity with brokers and bank accounts.

What I like most is the ability to create “accounts” with varying definitions, so you can combine two brokers and call them a single account if you want to group stock-only trading, for example. Or you can group a bank account with a broker and track the value if you prefer to segregate that way.

You can pick and choose from a number of pre-selected reports like profit and loss or net-worth, OR you can export data quickly to a spreadsheet for advanced analysis.

It’s another nice option for active investors, but it’s clearly intended for those who can dedicate time to setup and customization. You can’t build anything from the mobile app, so you first need to download the desktop version, decide on a plan, then connect from your phone.

But it’s not just for community, Status is a high-quality modern app with all the user experience you would expect.

Last on our list is Shrimpy, the only real alternative to CoinTracker. Personally, it seems like the only reason to go with Shrimpy is if you want to do deep crypto analysis directly in a web browser, because they don’t have a mobile app. That said, Shrimpy has a very strong user interface as well.
